Healthcare Organization Goes Digital in Fight Against Covid

There are many companies whose main goal is to digitalize their core business processes, replacing manual processes with automation tools that optimize time invested. This was the case of a clinical trials organization, which wanted to implement a new solution in which three fundamental pillars were established: 1) safety, 2) traceability and 3) accuracy.

With regard to the first rationale, it was mandatory to establish a workflow where each of the key players (researchers, direct collectors of clinical information, and the company itself) had real-time visibility into the data as it progressed through the various checkpoints.

The company demanded the need for all data to be protected. The aim was to move all the documentation extracted from a physical source to a digital one, which would lead to an improvement in the processing of information.

Accuracy due to the variety of agents that collected the clinical data, several nurses distributed in different geographical locations. A solution was needed to facilitate mobility and immediacy, but, above all, the versatility to cope with any communication problems arising from the lack or scarcity of telecommunications in certain territories. 

It was essential that the solution implemented could respond to new types of larger clinical trials, with new targets and new users. This was the case when the organization was chosen to coordinate a study on the feasibility of one of the main vaccines against the coronavirus.  

 

Our Solution

With consideration to the challenges on hand along with the need to create a system as analytical, adaptable and accurate as possible, Thirdera offered the best option: a tailored ServiceNow application built with data protection and automation in mind. The digitalization process was completed in less than a year with the following steps:

  • Creation of different categories of users with different levels of access to the data extracted from the studies, a key point in the search for traceability. This made it possible to 1) audit all modifications and access to the documentation collected and 2) control each step of the process.  
  • Establishment of an environment conducive to the secure collection of information. In other words, to eliminate paper and move to a digital solution. Thirdera built a gateway to the questionnaires for tablets and mobile devices where the recording of all that indispensable raw information would then generate relevant clinical reports. A bridge that would lead to a safe place, in this case, to cloud storage. No more filing cabinets, no more folders, no more risks. There was only one more thing to take into account: what could be done to do when there was no internet connection?  
  • It is not uncommon for some geographical areas to lack quality telecommunications. Thus, mechanisms were included in the application to solve this type of problem: access to offline forms and the possibility of printing them, for example. Once this setback was solved, the company found everything it was looking for in a single click. What’s more, not only in its field of action, but anywhere in the world. Thus, the possibilities of developing the project further have grown exponentially.  
  • Build a scalable and adaptable solution that could accommodate unforeseen circumstances. Thanks to this, it was possible to offer an agile response when this company was chosen to carry out the clinical trials for the vaccine against Covid.
